The Role

The Administration and Procurement Coordinator has key responsibilities in providing support and comprehensive range of administrative services to the Samoa Country Office staff and clients of the Pacific Australia Skills including but not limited to, administration support services, sourcing and procurement, records management and in collaboration with finance, ensuring compliance with Pacific Australia Skills policies and work instructions.

Roles and Responsibilities

  • Accurately and efficiently administer designated functions of the Pacific Australia Skills which may include the following services:
    - Staff amenities, overall office logistics and procurement.
    - Communication, data entry, record management and general administration services.
  • Maintain adequate stock levels of stationery, staff amenities, First Aid kits, cleaning supplies and student PPEs by recording, spot checking and stocktaking of resources at the Samoa Campus Office.
  • Source, negotiate, seek quotes and recommend procurement of goods and services that presents the best value for money and when delivered; check, verify, confirm receipt and safe storage of the same.
  • Review the first aid and emergency evacuation kits at all buildings on campus site and procure and replenish the kits, as and when required.
  • Undertake general clerical and office tasks, including preparations of photocopying, scanning, laminating, binding, collection and distribution of office mails, provision of reception services, running office errands and assisting with organization of meetings.
  • Assist the Student Services team with sourcing, procurement and distribution of stationeries, uniforms and PPEs to students; ensuring that proper distribution, record keeping, and inventory control is always maintained.

Selection Criteria

Essential Experience and Knowledge

  • Degree level qualification in related field with demonstrated work experience preferably in student administration services, general administration or customer services.

  • Previous extensive experience in student administration, procurement and office operations in TVET setting.

  • Demonstrated proficiency in administrative skills and ability to adapt established practices to achieve objectives in a busy and complex work environment.

  • Ability to work with colleagues to enhance teams’ strengths and encourage high performance.

  • Well-developed interpersonal communication skills and the ability to develop effective working relationships.

  • Ability to respond positively and adapt to a changing environment to maintain effective performance.
