Reporting directly to our Accounting Team Leader, we're searching for a proactive Accounts Administrator to play a key role in our finance department! In this pivotal position, you'll be at the heart of our financial operations—ensuring flawless accuracy in financial records, processing transactions with precision, and tackling a variety of accounting tasks that keep our business sailing smoothly. If you have a knack for organization, a keen eye for detail, and a solid grasp of accounting principles, we want you on our team!
Here is some of what you will be doing:
Invoice Management:
- Generate and issue sundry invoices and month-end charges (e.g., stevedoring for AusPac/SouthPac/Matson vessels, cleaning, R&D, and commissions) accurately and on time.
- Raise and distribute invoices promptly, ensuring precise application of payments.
Accounts Receivable and Accounts Payable:
- Manage and monitor accounts receivable ledgers, tracking incoming payments and ensuring timely collection.
- Reconcile customer accounts, identify and resolve discrepancies, and follow up on overdue invoices.
- Process supplier invoices with accurate coding and ensure timely payments.
- Reconcile supplier statements and resolve discrepancies, supporting month-end and year-end closing processes.
Collections:
- Proactively contact clients to remind them of outstanding payments, negotiating payment plans or settlements as needed.
- Collaborate with sales and customer service teams to resolve billing issues.
Cash Management:
- Process incoming payments (check, credit card, and bank transfer) and ensure accurate application to customer accounts.
- Deposit checks and manage payment posting in the accounting system.
Customer Relations and Administrative Support:
- Address customer inquiries about invoices, payments, and account balances, ensuring excellent service while adhering to payment terms.
- Collaborate with clients to resolve any account-related issues and track overdue payments.
- Provide general support to the finance team, including filing, data entry, and document management.
- Assist with other accounting duties as required by the Finance Team Leader.
Reporting & Analysis:
- Prepare and analyze accounts receivable aging reports, tracking outstanding invoices and collections performance.
- Generate monthly, quarterly, and annual reports on accounts receivable balances and overall performance.
- Undertake any additional tasks as required by the finance team.
Qualification
Here’s what you’ll bring to the table:
- Qualifications: A minimum of a Certificate in Finance, Accounting, or a related discipline.
- Proven Expertise: At least 2 years of hands-on experience in Accounts Receivable/Accounts Payable within an office environment, preferably with a background in the shipping industry.
- Tech-Savvy Advantage: Experience with CargoWise and Xero is a big plus.
- Microsoft Office Pro: Mastery of MS Excel and the ability to quickly adapt to new systems.
- Outstanding Communicator: Excellent interpersonal skills, both written and verbal, ensuring clear and effective communication.
- Detail-Oriented: A keen eye for detail, strong work ethic, and a commitment to delivering high-quality work.
- Team Player: Demonstrated dedication to teamwork and exceptional time management skills to thrive in a fast-paced environment.
- Clean Driver’s License: Full, current, and clean driver’s license required.
