The Opportunity

The University of the South Pacific is looking for a suitable applicant for providing efficient and effective financial and administrative support for the students and staff of Samoa Campus in Samoa. He/ She has the major responsibility for the billing of enrolment of students studying at Samoa Campus and assisting students with financial matters pertinent to their enrolment. This role deals extensively with sponsors and invoicing them for students on scholarship. The Officer ensures that the students and sponsors are invoiced accurately in line with regional fees and that the fees are duly paid. It is vital that the invoices are sent out in a timely manner to give the students and sponsors enough time to query their charges and make payments.

The appointee will deal with students’ queries, filing and proper record keeping of student and sponsor files, liaise with SAS on matters pertinent to enrolment, prepare invoices for students and sponsors for fees payable to USP in a timely manner for an average of 350 invoices per semester, maintain the register of student meals and liaise directly with the Dining Hall Supervisor and Laundry Maid to ensure correct billing and charges are applied to students accordingly. On a weekly basis, the appointee will prepare payments to students for refunds, actively follow up outstanding student and sponsor debts, input enrolment invoices, credit notes and adjustments into MYOB, liaise with the SWO/ Dining hall Supervisor regarding weekly invoicing, check, authorize and submit for payment. For student refunds, the appointee will prepare documents and submit to accounts payable officer to prepare payments to students, provide aged debtors analysis (summary) report, customer activity (detailed) and other required debtors reports on request, follow up student debts, prepare GL reconciliation and actively clear reconciling items and any other duty assigned by the Accountant or nominee.

The Person We Seek To be considered for this position, applicants must have:

  • Completed a Diploma in Accounting/ Business Services with relevant work-related experience, OR
  • Have basic knowledge of accounting in relation to General entries, credit notes and debtors aging.
  • Certificate level qualification with post-certificate relevant work experience; OR
  • Completed a post-trades certificate or advanced certificate and extensive relevant experience, and on the job training, OR
  • An equivalent combination of relevant experience and/or education/training.
  • Working experience in MYOB Debtors System
  • Must have a good communication skill as there will be consistent direct liaison with students.
  • Must have the ability to deliver the required Debtors Reports in a timely manner
  • Good customer service and people skills
  • Computer literate in MS Excel, MS word and Outlook
  • Ability to meet strict deadlines

The position is available for a fixed term of 3 years and may be renewed by mutual agreement.

Salary Range: WST 22,691 to WST 28,690 per annum
